A PMI-Tested Approach: Implementation Phases

When standing up a new cloud-based software solution for your EHS Management at your company, you must determine the process that will yield ultimate success. Facilitating this new EHS Management software at your company, while ultimately streamlining the day-to-day operations of leading and managing safety, is a complex endeavor requiring various stakeholders and their various requirements.  

EHS Management, either via a software solution or another solution, necessitates a leader who understands the overarching needs of their organization. The value of this leadership is seen in how the different safety stewards of the organization execute their roles and duties to maintain a high level of safety for all employees.  

 A PMI-Tested Approach

SafetyStratus utilizes Project Management Institute (PMI) standards to increase user adoption through a phased approach which builds on itself.  

The PMI standard demands a phased structure for implementing your software solution. This phased structure also sets a strong foundation for both the configuration of your software solution and a pathway for high user adoption over time.  

A PMI-Tested-Approach

The phased structure follows the following path:  

  1. Initiation: This kicks the implementation formally off. You can start to alert key stakeholders to join the project team. The charter and timeline are established.  
  1. Planning: Both teams meet in a series of discovery meetings so that your company starts to build a working understanding of SafetyStratus, and SafetyStratus starts to build a working understanding of your business practices. The scope is defined, and core project team members are added to the stage environment, a sandbox version of your company’s site.  
  1. Execution: The main site build occurs, and configuration is completed. Your company identifies the larger end-user group and training is provided. Finally, deployment prep starts, so both teams are ready for the go live of your site.  
  1. Go Live: This is the most exciting day where all hard work during the implementation is realized! The site is live on production and necessary users start to manage EHS initiatives via SafetyStratus.  
  1. Closure: Both teams address the final outstanding items, including documentation and lessons learned review, before signing off on the implementation and moving the maintenance of the site to SafetyStratus’ support team.  

Throughout the length of the project and to ensure that the project fully stays on track, the SafetyStratus team will monitor and control all aspects of the phases through traditional PMI methods. A Risks, Issues, & Decisions Log helps both teams identify major obstacles and choices that could derail the project. A Lessons Learned Log similarly highlights issues or project wins that have already occurred and can be used as a guide for future project management choices. Finally, a Change Request Process allows anyone within the project to request updates to the project that fall outside of the current scope.  

Through following a structured path, key actions and project team decisions are comprehensively tracked. The Implementations Team has successfully followed this approach since 2022 with over 50 completed implementations. Madelaine started her career as a 7th-grade teacher in El Dorado, Arkansas as a Teach for America corps member. Madelaine moved into school operations post-teaching where she created new roles to better serve students and families.

Throughout her time in operations, she oversaw compliance in school safety, food service management, grant administration, student enrollment, and general operational standards. Madelaine brings this experience to her role as a Project Manager for SafetyStratus where she facilitates the implementation process for customers from a variety of industries. Madelaine is a proud “Double Gator,” having received both her Bachelor’s Degree in History and Master’s Degree in Business from the University of Florida. She lives in Jacksonville, Florida, and in her spare time, she enjoys reading, traveling, and working out with her husband at CrossFit.
